This has massively reduced my workload from an administrative point of view.
It gives parents the flexibility to book and amend sessions, as well as pay for sessions all via Magicbooking. Childcare vouchers are quick and easy to reconcile. Registers are ready to export at the click of a button. Children’s details are readily available. Payment reminders are sent automatically to parents. Incidents and accidents can be logged easily. The dashboard gives a clear overview of finance and outstanding payments. All this saves a huge amount of time each day. The Magicbooking team are also helpful and knowledgeable!

As a growing business we were overwhelmed by paperwork. Being introduced to Magicbooking was a game changer. The booking system is awesome and so easy to navigate once you get use to it. Wraparound Care with MagicBooking
We use magicbooking in four of our MAT schools to manage wraparound care. The onboarding team have always been very helpful in the set up of the system to cater for our individual school needs. Ongoing support has always been plentiful and we have found them a great company to work with.

Parent opinion: extremely challenging and tricky for payments
While I read several positive experiences from childcare providers, I would like to share my view as a parent: it is extremely tricky to set up payments correctly. When the booking is done, there should be a clear step asking about payment methods and timelines for payment, but this is possible only by clicking a button which is not particularly visible and not clearly explained in the instructions. Basically, the whole group in our class ended up with the request to pay the full sum upfront, and had no chance to add Tax-Free Childcare payments or Childcare Vouchers and this created a lot of frustrations, which were directed to the childcare provided. The childcare provider needed to cancel all bookings and support parents one by one with their booking process, to still end up with a lot of upfront payments, while before the introduction of Magicbooking we paid in arrays.
While I see the benefits long term, I think this system still needs a lot of improvements and I would really encourage Magicbooking team to consider adding a separate and mandatory step for the setup and review of payment methods and dates. Additionally, if the provider allows payments in arrays, this should be possible, but it is not at the moment.
Also, I cannot believe that after a booking is done, I cannot do anything in the system unless I pay the full amount. So basically now I am asked to pay the full amount for the summer holidays for two children (very expensive!!) before being able to correct just one day. Amont that normally I would have paid in September with the normal system the childcare used before. I am so upset that our provider decided to switch to this tool that is ok, but really not fully fit for purpose, in particular in this challenging time for finances.
A recommendation to childcare providers: think twice about using it if you do not want to deal with a huge amount of unhappy and complaining parents.

We are sorry to hear you have not had a smooth experience with magicbooking. Thank you for taking the time to leave feedback on our parent journey. We’re surprised to hear that you have encountered these challenges navigating our parent portal.
Unfortunately, each provider using magicbooking has their own set of booking rules and parameters that we do not control. Some providers allow instalment plans and deposits while some enforce payments up front. Our providers have an overdraft facility which can be enabled at their discretion, should they wish to allow parents to book in arrears. Our providers also determine which payment methods are enabled and when your activity should be paid by.
Sorry to hear you were forced to pay your booking up front with no option to pay by Childcare Vouchers, as opposed to paying in arrears. I would suggest liaising with your provider to understand why CCV were not a payment option and to discuss your preference of paying in arrears for their service.
We have over 20k parents booking via magicbooking every day, creating instalment plans and paying up front seamlessly. You mentioned magicbooking requires lots of improvements, may I invite you to email me directly Baron@magicbooking.co.uk with your improvements and provide further information regarding the comment “adding a separate and mandatory step for the setup and review of payment methods and dates” as this step is already mandatory and I would like to further understand.
Once a booking has been finalised on magicbooking. Parents can amend their booking, subject to amendments being enabled by the provider. If an account has an overdue balance, the user will indeed be prevented from making any new bookings before settling the overdue balance. This can be overridden by providers at their discretion.

We had seen that Magic Booking was used…
We had seen that Magic Booking was used by other schools to facilitate bookings for breakfast and after school clubs. As part of our procurement process, we were looking for an easy to use booking system for our newly set up club so booked a demo
Although we tried other platforms, we were impressed with the interface Magic Booking offers and both Baron and Joe were informative, helpful and very patient as we asked questions over and over again. Although we signed up during Covid and all interactions were remote, this didn’t hinder the set up process and I felt fully supported.
The system is cost effective, easy to use and we are generally very happy with it.

Magicbooking allowed us to focus on delivering better quality childcare…
I implemented Magicbooking into my business (Energy Kidz Ltd) in 2016. At the time, we ran 33 out-of-school clubs and took bookings via phone, email and webform using 4 full-time customer care staff. We went on to operate over 100 out-of-school clubs and were able to reallocate 2 of the 4 customer care staff to other areas of the business. Using Magicbooking completely revolutionised Energy Kidz and allowed us to focus on delivering better quality childcare, while saving money and scaling the business. I believe in the product so much, that in 2018, I became a shareholder and director of Magicbooking, and Energy Kidz has since been acquired by an international provider of wraparound care, who continues to use Magicbooking today.

Magic Booking Review
Magic Booking was introduced to me by a friend and colleague who came across it as a referral from a parent who was using the system at another school. We were looking for a one stop solution that could manage all of our accounting, invoicing and booking requirements and this was the best fit having tried and tested several other platforms. The interface at the front-end for the customer is easy to use and the back-end administration system is pretty self explanatory also. We use Magic Booking to manage our online bookings, invoices and parent / carer communication via targeted email correspondence. They offer a SMS facility too, but we are not using this feature at present. Having this cost effective system makes the laborious task of back-end admin much more straight forward and transparent, and the automatic invoicing system is a Godsend! The support and technical team are very helpful and responsive also, normally responding within 24-hours if not on the very same day if you do get into any technical difficulties. Overall our staff team as well as our parents and carers are very happy with Magic Booking and plan to continue using it for the foreseeable future!

Not fit for purpose
I have wasted far too much of my life trying to book things on magicbooking. There doesn't seem to be any system to deal with the fact that multiple people will try to book things at the same time so as soon as booking opens the system goes into meltdown. Today it's telling me that the slots I'm trying to book for parents evening are either not available or already in your basket when there's nothing in my basket and none of the slots are taken.

I honestly don't know why schools invest in this system. The user interface is appalling - so, so bad. I a sick of receiving WhatsApp messages from fellow parents as frustrated with it as I am. It literally does not work. I wonder how anyone involved in this company could feel proud of their work. Shocking.
