Absolut nicht zu empfehlen. Habe PaperOffice gekauft und das Programm hat nie richtig funktioniert um Support zu erhalten habe ich die Plus Lizenz hinzugekauft im Webshop von PaperOffice habe nicht mal eine Kaufbestätigungsemail bzw. das Softwareupdate erhalten aber Geld wurde per PayPal abgebucht. Nach dem schreiben eines Tickets habe ich die Softwareupdate bzw. die Lizenz erhalten aber bis heute keine Rechnung. Auf Tickets wird nicht oder sehr unfreundlich geantwortet. Support konnte ich mittlerweile erhalten aber das Programm macht für mich keinen guten Eindruck. ABSOLUT KEINE EMPFEHLUNG!! Kundenservice sieht für mich anders aus.

We do paper-based data processing. SME company in Spain. Our clients are all over the place: schools that need multiple choice exams graded, companies running psychometric tests on job candidates, consulting firms collecting customer satisfaction surveys on paper. Anything with checkboxes, marked bubbles, multiple choice answers — that comes through us.

The problem was that we couldn't actually do the processing ourselves. In all of Spain there are maybe one or two companies with the professional OMR readers to handle this kind of work, and they're all in Madrid. So it was always the same routine: our clients would bring us the sheets, we'd pack them up and ship them to Madrid. Then wait. One week, two weeks, sometimes longer during exam season because the entire country is sending their sheets to the same place at the same time. Wir machen Datenerfassung. Das heisst bei uns kommen Kartons mit ausgefüllten Formularen an - Mieterbefragungen, Schadensmeldungen, Zählerstanderfassungen, alles mögliche. Grosse Hausverwaltungen und Versorgungsunternehmen schicken uns das uns wir müssen die Daten da rausziehen und aufarbeiten.
Früher sassen hier viele Menschenm die den ganzen Tag Bögen abgetippt haben. Fehlerquote war hoch, mal kamen die zur Arbeit, mal wieder nicht. Irgendwann schaut man auch nicht mehr richtig hin, nach dem 200sten Formular.
Seitdem wir PaperOffice einsetzen (ich rede von PaperOffice AI, nicht der Classic Version) scannen wir den ganzen stapel durch und die Erkennung liest die Felder aus. Klar, bei manchen Handschriften (die nicht mal ein Mensch richtig erkennen würde) muss man nachbessern, dafür gibt es die human in the loop Geschichte. Aber das ist ein Bruchteil von dem was wir vorher manuell gemacht haben.
Zwei von den vielen Leuten machen jetzt Qualitätskontrolle statt abtippen. Output ist höher, Fehler sind gleich null.
Wir haben und vorher noch zwei andere Anbieter angeschaut. Grosse Versprechen, KI hier, Automatisierung da - am Ende arbeiten die immer noch mit starren Templates und nehmen pro Bogen richtig Geld. Da rechnest du mal hoch was das bei unseren Mengen kostet und dann wird dir schlecht. PaperOffice war nicht nur besser in der Erkennung sondern auch wirtschaftlich die einzig sinnvolle Lösung für uns.

Letztes Jahr haben wir von einem reinen Ordnersystem auf PaperOffice umgestellt und ich war Anfangs skeptisch. Wieder so ne Software die alles verspricht. Aber mein Geschäftspartner bestand darauf, weil es es auch von einem anderen Freund empfohlen bekommen hat. Also gut, dachte ich.
Jetzt nach 10 Monaten - ja, ok, er hatte recht. Letzte Woche hat das Finanzamt Unterlagen von 2022 angefordert. Früher hätte ich dafür einen halben Tag im Keller verbracht. Jetzt Paar Klicks, fertig.
Einziger Nachteil: Mein partner erinnert mich jedes Mal daran, dass es seine Idee war.

Before the document management we had everything in folders and it was a mess to find things quickly. No we just scan the documents and the system recognizes what it is and files it automatically. That was the biggest surprise for ups, that it really worked also on our documents. Before we had view presentations, when it came to real documents - nothing from their system worked, but with Paperoffice - their delivered what they promised. Our employees got used to it very fast, no big training needed. And when tax season gets crazy, we can find any document in seconds instead of searching through piles of paper. Very happy.

Mietverträge, Übergabeprotokolle, Handwerkerrechnungen, Versicherungsschreiben, Eigentümerkorrespondenz, Nebenkostenabrechnungen — und alles muss jahrelang aufbewahrt werden. Unsere Aktenschränke waren am Limit, und wenn ein Eigentümer nach einem Beleg von vor drei Jahren gefragt hat, war das jedes Mal eine Sucherei.
Seit über einem Jahr läuft bei uns PaperOffice DMS und ich frage mich ehrlich, wie wir das vorher geschafft haben. Das fällt jetzt komplett weg.
Besonders bei der Nebenkostenabrechnung merken wir den Unterschied. Früher haben wir wochenlang Belege zusammengesucht. Jetzt tippe ich den Objektnamen ein und habe in Sekunden alle relevanten Rechnungen vom Hausmeister bis zum Winterdienst auf dem Schirm.
Einen Punkt muss ich erwähnen: Wir hatten am Anfang rund 40.000 Altdokumente die wir nachdigitalisieren mussten. Das war ein Kraftakt über mehrere Wochen (von uns, nachdem alles digitalisiert wurde - wurde es von paperoffice innerhalb kürzester Zeit aufgenommen).
Wer in der Immobilienverwaltung noch mit Ordnern und Exceltabellen arbeitet — macht euch das Leben leichter.

Habe durch kompetente Beratung und Installation gute Erfahrung sowohl mit dem Produkt als auch Unternehmen selbst gehabt. Kann wärmstens weiterempfehlen.

We´ve been using the solution for about 15 months now across our hotel group, and it this point it´s hard to remember how we even functioned without it.
Quick context: we run properties in Australia, Southeast Asi, Japan, and Europe. So on any given day, our main office in Syney receives invoices, supplier contracts, staff documents and compliance paperwork in english, japanese, thai, german, french - sometimes languages our admin team doesn´t speak at all. That was the core problem. Before paper office, someone had to manually read every document, figure out what is was, and tag it with the right keywords for our filling system. For english documents, that was tedious but doable. For japanese? Honestly, it was nearly impossible. We had people copy-pasting text into google translate just to figure out if something was an invoice or a contract.
Documents would sit in a backlog for weeks. It was embarrassing.
Paperoffice handles all of that automatically now. We scan or upload a document - japansese lease, german invoice, thai delivery note, doesn´t matter - and the system recognises the document type, extracts the key data and indexes everything without anyone having to manually keywording a single thing. If you´re managing a multi-country operation nand you´re still manually sorting documents in languages (archiving them) your team can´t even read - I Don´t know what you´re waiting for. It took our biggest operational headache and basically made it disappear.

Wir sind ein KFZ-Ersatzteilhändler mit ca. 80 Mitarbeitern und beliefern Werkstätten und Autohäuser in ganz Deutschland. Wer in der Branche arbeitet weiß: Der Papierberg ist enorm. Lieferscheine, Eingangsrechnungen, Zolldokumente bei Importware, Reklamationsformulare, Sicherheitsdatenblätter — alles kam früher per Mail, Post oder Fax rein und musste von Hand sortiert und abgelegt werden. Bei uns waren zwei Leute quasi Vollzeit nur mit Ablage beschäftigt.
Seit knapp einem Jahr nutzen wir PaperOffice DMS und der Unterschied ist gewaltig. Dokumente werden eingescannt oder per Mail weitergeleitet, PaperOffice erkennt automatisch um was es sich handelt und legt es richtig ab. Rechnungsnummer, Lieferant, Betrag, Datum — wird alles rausgezogen ohne dass jemand tippen muss. Besonders bei unseren asiatischen Zulieferern hat uns das enorm geholfen, weil die Dokumente teilweise auf Chinesisch oder Koreanisch kommen und vorher einfach in einer Kiste gelandet sind bis sich jemand drum gekümmert hat.
Was mich anfangs gestört hat: Man braucht schon ein paar Tage um die Abläufe sauber einzurichten und die Mitarbeiter im Lager waren erstmal skeptisch. Aber nach zwei Wochen wollte keiner mehr zurück.
Unterm Strich sparen wir locker 25-30 Stunden pro Woche an reiner Verwaltungsarbeit. Für einen Mittelständler wie uns ist das bares Geld.

Endlich mal ein support der den Namen verdient. Hatte nach der Installation ein Problem mit der Datenbankverbindung an mein Synology (war zu faul um die Anleitung zu befolgen ...) Aber ich war überzeugt, dass es nicht an mir liegt und war genervt. Über das Helpdesk einen Rückruftermin gebucht (Fragen vor dem Kauf) und wure tatsächlich pünktlich auf die Minute angerufen. Der Mitarbeiter hat mich bestens beraten und alles war in knapp 10 Minuten erledigt. Kein ewiges Weiterverbinden, kein Abwimmeln und super Hilfe, obwohl mal ehrlich gesagt lag es an mir und dem NAS.
Was mich besonders überrascht hat: die Mitarbeiter sind kompetent, auch wenn es um Drittanbieter Hardware handelt. Ich wollte unbedingt meinen Nas verwenden in der Firma für die Archivierung und Dokumentenspeicherung. Ende vom Lied: ich erwarb Team Lizenzen und nutze das DMS es in der Firma.

We came from one of the big well known dms providers and honestly we didnt know what we were missing. Paper office is so much better in every way. The ai document recognition is incredibly fast and actual works, it classifies and extracts data automaticly which our old software could never do properly. Everything is way more intuitive and easier to use, the prices are way cheaper... search is a lot faster too. Support Team is also super responsive and helpful, which was a big issue with our previous provider. If your still stuck with one of the big names and think theres nothing better out there or you just feel uncomfortable to switch because a change is always something new definitely give paperoffice a try. We wish we had done it sooner.
